Terms & Conditions of Service
Please read this information carefully. Delivery of a deposit, or payment of any kind, constitutes a clients acceptance of all the provisions contained herein. Laidman Lake Ecolodge reserves the right to change and or update the following content at any time, without notice.
Insurance
For your convenience, we offer Cancellation insurance and Medical and Emergency Evacuation insurance as part of the package price. Medical and Emergency Evacuation insurance is mandatory for all guests, and cannot be opted out of. Cancellation insurance is optional, and guests may choose to remove it from their packages at the time of deposit. Laidman Lake Ecolodge does not offer any refunds as per the Cancellation provisions. We strongly recommend cancellation insurance to all our clients. Laidman Lake Ecolodge’s insurance coverage and offering does not apply to exploration guests. If an exploration guest is interested in an insurance offering they must make an inquiry.
Payment
All late reservations are final. A late reservation constitutes a reservation made within 4 weeks of the booked arrival date. Reservations made on behalf of an Adventure Tour or Executive Retreat guest require a non-transferable $1000 deposit per person per week of stay; the balance of payment after booking is due 16 weeks (approximately four months) prior to arrival date. For your convenience, we will send an email reminder 4 weeks prior to the payment due date. For late reservations 50% of the Tour or Retreat price is due upon booking and the balance of payment is due 4 weeks prior to arrival. All bookings made within a four week period of arrival are due in full. Your reservation cannot be confirmed until we receive your final payment. Payments not received by the due date may result in your reservation being filled by another booking. Please communicate with us if there are any issues with payment.
For Exploration guests 50% of the estimated number of nightly stays is due 4 weeks prior to arrival or upon booking; the balance owing is due upon the arrival date, any nightly stay occurring after the estimated stay is settled the morning prior. If all inclusive, (meals included) 100% of the estimated nightly stay is due 4 weeks before arrival or immediately upon booking. Your reservation cannot be confirmed until we receive your final payment. Payments not received by the due date may result in your place being filled by another booking. Please communicate with us if there are any issues with payment.
Interest at a rate of 16% per annum will be added to all accounts which are overdue 30 days or more. Services rendered on your behalf, but not posted to your account, will appear on your next billing. If customers would prefer to make payment via a credit card a 2% administration fee will be placed on the total amount of the bill.
Cancellation and Reservation changes
Once a booking is made, significant expenses and long term commitments are made on your behalf. For this reason, we are not prepared to offer refunds if you are later forced to cancel. All deposits and payments made to Laidman Lake Ecolodge are non-refundable.
If you cancel your trip with Laidman Lake Ecolodge more than 16 weeks in advance of the reservation date, you may apply your deposit against another reservation within an 18 month period. Any cancellation more than 4 weeks in advance will be transferrable at the discretion of Laidman Lake Ecolodge. Cancellation less than 4 weeks in advance of the reservation date will result in the forfeit of transferability and the reservation.
Please note that Laidman Lake Ecolodge considers non-payment of a balance owing within the specified time frame to be a cancellation of the trip or stay, which may lead to your reservation being filled by another booking. Please communicate with us if there are any issues with payment.
Laidman Lake Ecolodge reserves the right to cancel your reservation at anytime. However, if Laidman Lake Ecolodge does cancel your reservation, you will be refunded your payments in full. We will not be held responsible for any additional costs, including but not limited to, interest on funds held.
Delays
In the event of a delay, passengers will be responsible for all costs and expenses associated therewith, including, without limitation, any additional food, and lodging or transportation costs resulting from such delay.
Baggage
Client baggage is solely at the passenger’s risk and expense. Baggage is limited to one suitcase and one personal item per person at a maximum total weight of 50kg. Please advise Laidman Lake Ecolodge of any additional baggage or gear that will be travelling with you to make appropriate arrangements. Laidman Lake Ecolodge reserves the right to charge a handling fee for additional or oversize baggage. Laidman Lake Ecolodge reserves the right to refuse a client’s baggage when in excess of the aforementioned restrictions and where alternative arrangements have not been made.
Media
Customers release authority and authorize Laidman Lake Ecolodge, its representatives and employees to use any photographs, videos or written material taken while in connection with Laidman Lake Ecolodge and its affiliates, of customers or the like or of property in connection with the above-identified subject. Customers authorize Laidman Lake Ecolodge, its assignees and transferees to copyright, use and publish the same in print and/or electronically. Laidman Lake Ecolodge is being given expressed privilege to use such photographs, videos or written material of customers, or their property, with or without their name and for any lawful purpose, including such purposes as publicity, marketing, illustrations, advertising, and Web content. Whether published or not, as a customer of Laidman Lake Ecolodge you agree that picture(s), video(s), and written material may be taken and used without any expectation of reimbursement, monetary or otherwise.
As a customer, you hereby relinquish any right that you may have to examine or approve the completed product or products, or the advertising copy, printed material or Web content that may be used in conjunction therewith or the use to which it may be applied. You hereby affirm that you are over the age of majority and have the right to contract in your own name, the name of the business you represent, and or the name of a minor to which you are the legal guardian.
Client Responsibility
The Client acknowledges he or she will be visiting places where the cultural and geographical attributes present certain risks, dangers and physical challenges greater than those present in his or her daily lives. Areas visited by Laidman Lake Ecolodge are remote wilderness areas, and as such constitute risks. By booking travel or accommodations with Laidman Lake Ecolodge, the Client acknowledges he or she has considered the potential risks, dangers and challenges, and expressly assumes the risks attendant to such travel conditions. The Client is solely responsible for acquainting themselves with customs, weather conditions, physical challenges and laws in effect, and are encouraged to locate or make contact prior to embarkation with his/her local embassy or consulate in each destination. Customers booking travel or accommodation with Laidman Lake Ecolodge are doing so of their free will and are under no undue obligation to do so. Customers of Laidman Lake Ecolodge realize the inherent risks associated with wilderness travel and accommodations, therefore release Laidman Lake Ecolodge and their staff of all associated liability.
Meals
Laidman Lake Ecolodge strives to provide fresh, nutritious and varied meals and to cater to the needs of all clients including Vegetarian and Gluten-Free diets. Please advise us of any dietary restrictions at the time of booking. Laidman Lake Ecolodge cannot be held responsible for meeting any restrictions not declared at the time of booking in writing. Laidman Lake Ecolodge is dedicated to adhering to the Canadian Health Food and Safety standards in and outside of the kitchen, if you have any concerns with our policies or practices we ask you to share them immediately so that we may maintain the highest standards and practices.
Conduct
Laidman Lake Ecolodge has a vast property and considers its self a family friendly, safe, wilderness site. Reasonable behavior with respect to accommodations, fellow travelers, staff, and the environment must be maintained. We expressly reserve the right to deny travel or accommodations to any traveler who has been deemed unruly. We reserve the right to remove a client from the premises if inappropriate or unsafe behavior persists. If a client is removed from the premises, any further transportation and accommodation arrangements will be solely at the discretion and or expense of the client, and no refund will be offered on the unused portion of the stay.
Children
Laidman Lake Ecolodge welcomes families and children of all ages to its facilities. All children must be accompanied by an adult at all times during the stay. Families with children are advised to consider the risks involved with remote wilderness travelling and to always keep their children in sight.
Children under the age of 12 are not permitted on Tier III activities, unless prior arrangements have been made. Laidman Lake Ecolodge is happy to provide a child care service during day trips at an additional fee. Please contact us for additional information.
Additional Documentation
Clients are fully responsible for maintaining and safeguarding adequate documentation as required for travel. Clients are advised to verify at the time of booking the documentation requirements for travelling. Laidman Lake Ecolodge will not be held liable if a client is unable to travel due to inadequate documentation.
Waste
Laidman Lake Ecolodge prides itself on its waste management system and planning. A lot of effort, time, and energy are put in to ensure the lowest amount of waste is produced on site. For this reason external products and materials are not recommended to be brought on site by customers. Such materials, if brought on site must be taken away with customers upon their departure. If additional waste is created or left by customers on site Laidman Lake Ecolodge reserves the right to charge a non-negotiable waste disposal fee to cover the additional expense and labor of disposal.
Environmental Tax
The environmental tax fee placed on a trip or stay with Laidman Lake Ecolodge is set to offset site damages and help fund greener initiatives at the lodge. Laidman Lake Ecolodge is striving to be completely carbon neutral by 2015, but large expense due to environmental damage by our guests and visitors has slowed this effort. Becoming carbon neutral is an expectation our customers have of us. It is our duty to live up to this expectation and we can only do that by teaming up with our customers.
